Conference Visa
Instructions
A. Online application Form: -
- This application form is meant for those foreigners who are applying for visa from outside India
- Each online application form is meant for one person only. Separate application must be filed for each applicant.
- Furnish information exactly in the manner asked for in the forms, especially the names, address and date of birth.
- Applicants are required to verify the application details before submitting the online application. They have an option to save the online application form, in case it is not to be submitted.
- Once the online application form is submitted by the applicant, then further modifications are not allowed. Hence applicants are requested to check and validate the details before submitting the online application form.
- Applicants are requested to keep the Application Id (generated automatically after the submission of online form) for further communications.
Photo Requirements
Online India Visa Application allows the Applicant to upload a digital photograph of self to complete the regular visa application.
The digital photograph to be uploaded along with the Visa application should meet the following requirements:
- Format: JPEG
- Size: (Minimum 10 KB and Maximum 300 KB)
- The height and width of the Photo must be equal.
- Photo should present Full face, front view, eyes open.
- Center head within frame and present full head from top of hair to bottom of chin.
- Background should be plain light colored or white background.
- No shadows on the face or on the background.
- Make sure that photo presents full head from top of hair to bottom of chin. Head should measure 1 inch to 1-3/8 inches (25mm to 35mm). Make sure eye height is between 1-1/8 inches to 1-3.
B. Appointment Scheduling: -
- Applicant can schedule the appointment as per his/ her convenience with the concerned Indian Mission.
- Each applicant to schedule a separate appointment with the Indian Mission
C. Process for filling in an online application form: -
- Applicant shall access the Visa Application system online through the following link: https://indianvisaonline.gov.in
- Applicant visits the above-mentioned web link and selects the Indian Mission from where he intends to apply for the Visa from the tab Select Mission.
- Applicant fills the application on-line as per the forms standardized by the Ministry.
- After filling the form and submitting it, the system shall automatically generate a Application Id. Applicants are requested to keep this Application Id for further communications with the concerned Indian Mission.
- System will automatically ask the Applicant for the following confirmation: Select 'Yes' if the applicant wants to seek appointment and make payment online or 'No' if the applicant just wants to print the submitted application form.
- If the applicant response is 'No', then it is requested by the applicant to take the printout of the submitted online application form and approach the concerned Indian Mission for submission of the online form along with supporting documents.
- If the response from applicant is 'Yes' then the system automatically takes the link to perform the following:
- Selection of Date and Time of appointment at the concerned Indian Mission
- Calculation of Visa fee, service charge, VAT etc. as applicable according to the Visa type
- ePayment* using service providers payment system
- In case the facility of Appointment Scheduling and e-Payment is not available for the concerned Indian mission, then applicant must take the printout of the online application form and visit the concerned Indian Mission to submit the same along with supporting documents and make the payment.
D. Eligibility for a Conference visa
A Conference visa is granted to a foreigner:
- whose sole objective of visiting India is to attend a conference / seminar or workshop being held in India
- who holds a valid passport, and a re-entry permit if that is required under the law of the country of nationality of the applicant
- who is not a persona-non-grata to the Government of India
- who is not considered an undesirable person and is not the subject of a negative list or any warning circular or other restrictive list
- who is a person of assured financial standing (the production of a return ticket and availability of sufficient money to spend during his stay in India may be considered sufficient for this purpose).
E. Procedure for grant of Conference Visa
- Indian Missions are authorized to issue Conference visas to delegates on production of an invitation to a conference/seminar/workshop being organized in India by a Ministry or Department of the Government of India, State Governments or UT Administrations, Public Sector Undertakings, Central Educational Institutions, Public Funded Universities (list of such institutions are available on the website www. education.nic.in and the websites of the University Grants Commission and Association of Indian Universities), or an organization owned and controlled by the Government of India or any State Government / UT, United Nations or its specialized agencies. Missions will process the cases for grant of visas and after satisfying themselves, grant visas to the participants of such events.
- Prior clearance of the Ministry of Home Affairs for attend the event will be required only in following cases: -
- If there are participants from Afghanistan, Pakistan, Iraq, Sudan, foreigners of Pakistani origin and Stateless persons.
- If the participants are required to visit 'Restricted' or 'Protected' areas in India, Jammu & Kashmir and the Northeastern States (other than the States of Manipur, Mizoram and Nagaland).
- If any participants, which from the stand point of parameters mentioned above, is being organized in India by a Ministry or Department of the Government of India, State Governments or UT Administrations, Public Sector Undertakings, Central Educational Institutions, Public Funded Universities or an organization owned and controlled by the Government of India or any State Government / UT, United Nations or its Specialized Agencies, the organizer concerned shall forward the proposal with complete details to the Ministry of Home Affairs at least 30 days prior to the commencement of the event. In respect of participants from countries mentioned above, details in the following format should be sent to MHA at least 30 days prior to the commencement of the event:

- Participants from the countries specified above are required to apply for visa at the Indian Mission concerned online from visiting: https://indianvisaonline.gov.in/visa/Registration
- When the event is cleared, the Ministry of Home Affairs will inform the Missions concerned accordingly and will authorize the grant of visa in respect of specific individuals.
F. Duration of visa
Delegates (other than Pakistani nationals) coming to attend conference etc. in India can combine tourism with attending the conference. Indian Missions may at their discretion grant visas for the required period.
A foreign national intending to attend an International Conference/ seminar/ workshop while already in India on Business/Employment/Student/ Research visa may seek prior permission of the FRRO/ FRO concerned by making a suitable application along with all relevant details.
